Twenty-five people you actually love, a valley to yourselves, and two nights instead of one long day. Here is what an intimate wedding near Auckland really costs, and how it runs.
Most wedding advice is written for 120 guests and a marquee. If your list is closer to 25, the numbers, the timeline and the venue all change, mostly for the better. Black Barn Valley Retreat is a private holiday home in its own valley near Helensville, 45 minutes north west of Auckland, and this is how couples use it.
What it costs
The venue and the accommodation are the same thing here, which is where the saving starts. Weddings are a two-night minimum. The Main House is NZ$1,104 a night for up to 8 guests, so two nights is NZ$2,208. Every day guest beyond the 8 who stay is NZ$55, up to 25 people in total. A full house of 25 on the day, with 8 sleeping over both nights, comes to about NZ$3,150 for the venue, the ceremony space, the reception space and two nights of accommodation for the wedding party.
Everything else is yours to choose and yours to price: celebrant, food, drink, flowers, photographer, music. We provide the property, a few bar leaners and outdoor seating, and we do not tie you to any supplier. Every wedding is quoted individually once you send us your dates and numbers.
How the two nights run
Day one, afternoon. The wedding party arrives, drops bags in three king bedrooms, and the couple gets the one with the en-suite. Suppliers set up on the lawn and the lower deck. Dinner is whatever you want it to be: a caterer, a barbecue, or a long lazy pizza night with the people who flew in.
Day two, the wedding. Slow breakfast on the upper deck with the valley waking up. Getting ready happens in the house, with the light from the bush coming through every window. The ceremony is on the lawn, native bush behind you, your guests arriving from midday. Photos in the grounds, drinks on the deck, and the long table on the lower deck for dinner as the light turns gold. When the day guests leave, the 8 of you have the spa pool and the stars.
Day three, morning. Nobody has to be anywhere. Breakfast, the pool table, a walk into the bush, and checkout by 11am with the whole thing done at the pace you chose.
Who to book, and when
In this order: celebrant, photographer, food. Good Auckland celebrants and photographers are booked nine to twelve months out for spring and summer Saturdays, and much less for a Friday or a Sunday, which is one of the quiet advantages of a venue you have for two nights. Flowers, music and styling can come later. The Kumeu wine country is 15 minutes away, so a case from Coopers Creek or Kumeu River is the easiest drinks decision you will make.
What to bring
The table settings you want, whatever makes the lawn yours (an arch, a few chairs, petals), your music and a speaker, ice, and a plan for the weather. The upper deck is covered, so a shower does not move the day indoors. Bring the guest list too: 25 is the number, with 8 staying overnight, and it is what keeps the day feeling like yours rather than a function.
The questions couples ask first
Can we stay the night before? Yes, that is what the two nights are for. Can we bring our own caterer? Yes, anyone you like. Can guests stay nearby? Helensville and Parakai are five minutes away, with motels and holiday homes, and the North Shore is 50 minutes. Can we have more than 25? No, and we would rather say so now than disappoint you later.
